Tract Index Web Site Frequently Asked Questions

Q:    What hours is the website available?

A:    The tract index website is an expanded service that is available during most hours. Remote access is unavailable from approximately 4:00 a.m.-6:00 a.m. CST Monday, and 5:00 a.m.-6:00 a.m. CST Tuesday through Thursday for backup procedures. Document copy requests are unavailable from approximately 7:45 p.m.-9:00 p.m. CST Monday through Thursday, and 5:45 p.m.-10:00 p.m. CST Friday (you can, however, still access the tract index to perform searches).

Q:   How current is the data?

A:     The website contains live data. As soon as information is entered in our computer system at the Property Record's office, it is available on our website the following day.

Q:    How do I know my authorization form was processed and received?

A:    After your account is set up a confirmation will be sent to the user e-mail address on your authorization form.

Q:    Why do I have to use an escrow account to pay for services?

A:    As a government agency we are unable to provide service without concurrent payment or prepayment of fees for services. We are therefore unable to invoice for services provided. To alleviate any difficulties this creates, state statute allows us to offer escrow accounts as a tool to collect fees and provide high quality customer service.

Q:    How do I cancel my Internet service?

A:    Internet access to the Washington County Recorder Tract Index may be cancelled by 30 day written notice. Your service will be discontinued on the first of the month following the 30-day notice.

Q:    Sometimes I see "The system encountered an error" rather than "E-mail the document image." What does this mean?

A:    Abstract and Torrens documents are available through the automated e-mail system starting 1/3/84 (Document No. 457555 for Abstract and Document No. 64287 for Torrens). If you perform a document number search prior to this date, you will receive the message "The system encountered an error." In this case, you may e-mail your request to recorder@co.washington.mn.us. You should include the document number(s), company name and requestor name. You may also send certificate requests to this mailbox as they are not available through our automated system. Requests are fulfilled within 24-48 hours and fees will be assessed to your escrow account.

Q:    What should I do if I don't get the e-mail I requested?

A:    If you have any difficulty with your request, please contact us at recorder@co.washington.mn.us. We will resolve your difficulty and respond promptly.

Q:    Can I give out my user name and password to other people in our company?

A:    The company named in the user profile is responsible for all copy charges initiated by that user name regardless of the e-mail address entered. Allowing multiple users to use the same name and password may limit your company's ability to monitor and control copy purchases.

Q:    How come the background images have white blocks throughout it?

A:    This site is best used with Microsoft Internet Explorer. Other browsers may alter the appearance of the graphics.
